Area 03 · Simplify work

Process automation: recurring work runs by itself

Capture enquiries, transfer data, keep customers informed, coordinate appointments, process receipts – with human approval wherever someone should decide.

The problem

The same tasks every day: typing up enquiries, copying data from one program to another, calling customers because they ask about the status, emailing back and forth about appointments, sorting receipts.

That costs time and causes errors. And it often depends on one person – if they're ill or on holiday, everything piles up.

What you get

The scope of a clearly defined starter project. Exactly what is included is set out in your proposal.

Building blocks we choose from

  • Capturing enquiries: a form or email becomes an orderly case in your system
  • Data transfer between programs – via interfaces where available, otherwise via clean exports and imports
  • Status messages to customers by email or SMS, such as “Your order is ready” – only with consent and an opt-out
  • Appointment workflows: confirmation, reminder, rescheduling
  • Receipt processing: read photos and PDFs with AI, check, file
  • Reminders about maintenance, appointments or contract end dates

Not included

  • Automated decisions that a person has to make
  • Sending without consent

Ongoing, if you want it

  • Monitoring the workflows
  • Adjustments when connected services change

Always separate: third-party costs

  • SMS usage
  • Licences for automation platforms such as n8n or for connected software
  • Hosting

For the agreed scope you get a written proposal with a fixed price. Ongoing support only if you want it. How a proposal comes about

Examples – how it could look

Use cases for orientation – not customer projects.

Example – how it could look

“Your vehicle is ready”

A workshop automatically sends an SMS as soon as the job is marked as done. If nobody collects it, a friendly reminder follows after a few days.

Example – how it could look

Incoming invoices

Invoices from a mailbox are read, presented for checking and only filed after approval.

Daily overview in the morning

What is due today, what is overdue? A short summary by email before the business opens.

How it works

  1. 01

    Process mapping

What is done by hand today, how often, with which programs – and where are the exceptions?

  2. 02

    Implementation

Agree on texts, timing and rules, build the workflow, plan approvals.

  3. 03

    Test

Check with real cases before a customer receives a message.

  4. 04

    Handover

Documentation, training, making visible what has been sent.

  5. 05

    Support

If you want: monitoring and adjustments when something changes.

What I don't promise

  • If a connected service changes its interface, the workflow has to be adjusted.
  • AI reading can make mistakes – that's why everything is checked before it is taken over.
  • Whether reminders and messages are permitted in your case (consent, content) is checked by you or an authorised professional; I build consent and opt-out in technically.

Frequently asked questions

What is n8n?

A tool for building workflows between programs – for example: a new form entry, then a row in a spreadsheet, then an email to the customer. I use it when it makes a workflow simpler, and program directly when that is more reliable.

Am I allowed to remind customers by SMS or email?

For promotional messages you usually need your customers' consent. I build consent and opt-out in from the start. The legal review of your texts is done by an authorised professional.

How reliably does AI read photos and receipts?

Well with clear images, but not without errors. That's why the recognised details always land in a review screen first – a person checks and accepts them.

Do I have to switch programs for this?

No. Usually I connect what you already use. Only if a program has no interface and no export at all do we look for another way together.

Free initial call

I'll call you back – approx. 15 minutes, no obligation. Your name and number are all I need.

How would you like to talk?

Phone number or email address – either one is enough.
